Privacy Statement

DANS considers your privacy important. This Privacy Statement explains which personal data DANS collects, how we process these data, and for what purposes.

DANS
DANS is an institute of the KNAW and NWO and is part of the legal entity of The Royal Netherlands Academy of Arts and Sciences (KNAW). The KNAW is the controller for the personal data that DANS processes about you.

Privacy policy
DANS is aware of its responsibility when processing personal data. DANS wants everyone whose personal data are processed by DANS to be able to trust that this is done in a careful and lawful manner. DANS processes personal data in accordance with the General Data Protection Regulation (GDPR) and the privacy rules arising from it.

Which personal data does DANS process?
DANS processes personal data only where this is necessary for a specific purpose. That purpose determines which personal data are required. We therefore never request more personal data than is necessary. Depending on the purpose, DANS may process the following personal data: your name, address, place of residence and email address.

On what legal basis does DANS process personal data?
DANS processes your personal data only where there is a lawful basis for doing so. Depending on the purpose, personal data are processed because:
● You have given your consent.
● It is necessary for the performance of an agreement concluded with you.
● It is necessary to comply with a legal obligation.
● It is necessary to protect your vital interests.
● It concerns a task carried out in the public interest.
● DANS has a legitimate interest in doing so.

Where DANS processes personal data based on your consent, you may withdraw your consent at any time. Once you do so, DANS will no longer process your personal data on the basis of that consent.

Purposes
DANS processes personal data for the following purposes (depending on the activities that apply to you):
● To maintain our relationship with you as a business contact.
● To enable you to use the Data Stations and DataverseNL.
● To provide you with (online) training and events.
● To send you our newsletter.
● To answer your questions or to provide you with information via social media, email, post or telephone.
● To exchange academic information.
● To comply with financial obligations.
● To improve and protect the DANS websites.

Retention period for personal data
Personal data are, in principle, not retained for longer than is necessary to achieve the purpose for which they were collected.

Where personal data are processed for archiving in the public interest, scientific or historical research, or statistical purposes, they may be retained for a longer period. Where this applies, DANS will implement appropriate technical and organisational measures in accordance with the GDPR to protect your rights.
● Business contacts
Your personal data will be retained for two years after the last substantive contact or after the end of the collaboration, unless continued contact or further collaboration is necessary.
● Newsletter subscribers
Your personal data will be retained until you unsubscribe.
● Participants in events, training courses and workshops
Your personal data will be retained for up to one month after the event, training course or workshop has ended.

External service providers
DANS makes use of external service providers (processors), including for customer relationship management (CRM system), the distribution of our newsletter (CRM system), communication and support, online training and events, the delivery of our services, and the protection of our websites.

Disclosure to third parties
DANS discloses personal data to third parties only where there is a legal obligation or legal basis for doing so, as referred to in Article 6 of the GDPR.

Where DANS discloses your personal data to a third party, DANS safeguards your privacy rights, among other things by concluding a processing agreement setting out how your personal data must be handled.

Security of personal data
DANS protects your personal data against misuse and unauthorised access to your personal data.

Third-party websites
This statement does not apply to third-party websites that are linked to the DANS websites. DANS advises you to read the privacy policy of these third-party websites carefully.

Exercising your privacy rights
To exercise your privacy rights, you may submit a request to DANS:
● Right to access your personal data.
● Right to rectification and/or completion of your personal data.
● Right to erasure of your personal data.
● Right to restriction of processing your personal data.
● Right to data portability.
● Right to object.
● Right not to be subject to a decision based solely on automated processing, including profiling.

Where your personal data are processed for archiving in the public interest, scientific or historical research, or statistical purposes, legislation places restrictions on, among other things, the right of access, rectification, restriction of processing, and the right to object. Furthermore, where personal data are processed for archiving in the public interest, the right to data portability is also restricted. In addition, the obligation for DANS to notify data subjects does not automatically apply in this context.

If you have any questions and/or complaints about the protection of your privacy within DANS, please contact the Data Protection Officer of the KNAW (email).

Dutch data protection authority
DANS will work with you and the KNAW to find a solution if you have a complaint regarding the processing of your personal data. If this does not lead to a satisfactory outcome, you have the right under the GDPR to submit a complaint to the Dutch data protection authority (Autoriteit Persoonsgegevens).

Changes to this Privacy Statement
DANS may change this Privacy Statement. Any changes will be published on the DANS website. Changes made to this Privacy Statement will never be in violation of the GDPR and the privacy rules arising from it.
