These terms of use apply to the general use of the Data Stations, such as requesting and downloading datasets, and to depositing datasets. <\/span><span style=\"font-weight: 400;\">Additional information about the policies that govern our Data Stations can be found in our <\/span><a href=\"https:\/\/dans.knaw.nl\/wp-content\/uploads\/2023\/03\/DANS-Data-Stations-Policy.pdf\"><span style=\"font-weight: 400;\">Data Stations Policy<\/span><\/a><span style=\"font-weight: 400;\">.<\/span><span style=\"font-weight: 400;\">\u00a0\u00a0<\/span><span style=\"font-weight: 400;\"><\/span><\/p>\n<p><strong>Preparing FAIR data<\/strong><\/p>\n<p><span style=\"font-weight: 400;\">The DANS Data Stations are domain-specific trustworthy digital repositories which help to make your data FAIR &#8211; Findable, Accessible, Interoperable and Reusable. Before depositing, it is good to understand what FAIR means. <\/span><a href=\"https:\/\/training.parthenos-project.eu\/wp-content\/uploads\/2019\/02\/20181219_FolderParthenos_FAIRifyDataManagement_PDFonly.pdf\"><span style=\"font-weight: 400;\">These guidelines<\/span><\/a><span style=\"font-weight: 400;\"> give an overview of the FAIR principles and the steps data owners and repositories can take to increase the FAIRness of data. If you are interested in the work DANS does around FAIR in various projects, you can find more information in our <\/span><a href=\"https:\/\/dans.knaw.nl\/en\/data-expertise\/\"><span style=\"font-weight: 400;\">data-expertise section<\/span><\/a><span style=\"font-weight: 400;\">.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">The good news is that by depositing in a Data Station, DANS will take care of many aspects of the FAIR principles for you: We provide a Persistent Identifier (PID) for your dataset, make your metadata findable in standardized formats, and allow others to download your data for reuse, either directly (open access) or after permission has been granted (restricted access). Your biggest responsibility to make your data FAIR is to provide detailed metadata and documentation so others can understand your data and know how it can be reused.\u00a0<\/span><\/p>\n<p><strong>Considerations around Personal data<\/strong><\/p>\n<p><span style=\"font-weight: 400;\">Personal data within the meaning of the General Data Protection Regulation (GDPR) is data by which a living person can be identified, either directly or indirectly. Examples include names, identification numbers, location data, online identifiers, or elements that are characteristic of a person\u2019s physical, physiological, genetic, mental, economic, cultural or social identity. Anonymous data is not considered personal data. Pseudonymized data, however, is considered personal data.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">It is important to consider the following aspects, when you want to deposit personal data in the Data Stations:<\/span><\/p>\n<ul>\n<li><span style=\"font-weight: 400;\">You, or your organisation, <\/span><span style=\"font-weight: 400;\">are the data controller and DANS is the data processor. In addition to the general terms of use, y<\/span><span style=\"font-weight: 400;\">ou agree to be bound by the<\/span><a href=\"https:\/\/dans.knaw.nl\/en\/legal\/processing-addendum-data-stations\/\"> <span style=\"font-weight: 400;\">processing addendum<\/span><\/a><span style=\"font-weight: 400;\">.<\/span>\n<ul>\n<li><span style=\"font-weight: 400;\">As a data controller under the GDPR, you or your organisation are responsible for the correct processing of personal data in your data set. <\/span><span style=\"font-weight: 400;\">Depending on your project, this may<\/span><span style=\"font-weight: 400;\"> include <\/span><span style=\"font-weight: 400;\">de-identification\u00a0 <\/span><span style=\"font-weight: 400;\">and minimising personal data<\/span><span style=\"font-weight: 400;\">, or encrypting the data. Regarding encryption, it is important that you store the key for the encrypted data securely <\/span><span style=\"font-weight: 400;\">and permanently elsewhere. <\/span><span style=\"font-weight: 400;\">Your organisation may have additional guidance available on how to handle personal data in scientific research and local policies.\u00a0<\/span><\/li>\n<li><span style=\"font-weight: 400;\">You may need to archive files containing personal data as restricted files. This way, you can manage who accesses these files and you have the possibility to impose appropriate conditions for reuse. As data controller you are solely responsible for appropriate access and reuse restrictions.<\/span><span style=\"font-weight: 400;\"> More information about depositing files under restricted access can be found in <\/span><a href=\"https:\/\/doi.org\/10.5281\/zenodo.10887484\"><span style=\"font-weight: 400;\">this guidebook<\/span><\/a><span style=\"font-weight: 400;\">.\u00a0<\/span><\/li>\n<\/ul>\n<\/li>\n<li><span style=\"font-weight: 400;\">As the data controller you need to ensure that you have the legal basis to deposit the personal data at DANS. In many cases you will have to ask informed consent from your participants for archiving and publishing the personal data. It can be useful to add a blank copy of the consent form to your documentation when you deposit your dataset in the Data Stations. Please do note that the signed informed consent forms should not be included in the deposit. They contain personal details from the participants which should be kept by the data owner separate from the deposit.<\/span><\/li>\n<\/ul>\n<h2><span style=\"font-weight: 400;\">Preparing documentation and files<\/span><\/h2>\n<p><strong>Selecting files and formats<\/strong><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Which files are you going to deposit? Not all data needs to be preserved for the long term. More information can be found in this <\/span><a href=\"http:\/\/resolver.tudelft.nl\/uuid:dbab8a19-542a-4c4d-96b4-df8cc39333db\"><span style=\"font-weight: 400;\">report<\/span><\/a><span style=\"font-weight: 400;\">.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Not all file formats ensure long-term usability, accessibility and preservation of data. DANS works with <\/span><i><span style=\"font-weight: 400;\">preferred formats<\/span><\/i><span style=\"font-weight: 400;\">. For more information, see the <\/span><a href=\"https:\/\/dans.knaw.nl\/en\/file-formats\/\"><span style=\"font-weight: 400;\">File formats<\/span><\/a><span style=\"font-weight: 400;\"> page.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">For the purpose of sustainable archiving, DANS may convert non-preferred formats to preferred formats and publish a curated version of your dataset as a new version.\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">One of the transformations that Dataverse &#8211; the software of the Data Stations &#8211; does automatically is the transformation of\u00a0 a tabular data file, such as a SPSS file or another statistical file, into a TAB-delimited file. This functionality will only work for files whose content can be interpreted as a table. Multi-sheet spreadsheets and CSV files with a different number of entries per row are two examples where the transformation cannot be executed. Please consider this when uploading tabular data files.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">For clarity of the content of your dataset, DANS recommends not to use compressed archives such as ZIP, RAR, 7z etc.\u00a0 Storage of data as ZIP or TAR files with the dataset can, however, be a solution for datasets of very large sizes (dozens of GBs) or containing very large volumes of data (thousands of data files). You can, for instance, make use of ZIP files to easily upload many data files at once (see \u2018<\/span><a href=\"https:\/\/dans.knaw.nl\/en\/depositing-data-manual\/during-depositing_ds\/\"><span style=\"font-weight: 400;\">During deposit<\/span><\/a><span style=\"font-weight: 400;\">\u2019). ZIP files containing up to 2000 files will then be automatically extracted. Please <\/span><a href=\"https:\/\/dans.knaw.nl\/nl\/contact\/\"><span style=\"font-weight: 400;\">contact DANS<\/span><\/a><span style=\"font-weight: 400;\"> if you want to deposit large datasets.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Are there many files in your dataset? If you deliver many files at once, please provide a file list, i.e. a list of file names, descriptions of the content and of any connections between the files.<\/span><\/li>\n<\/ul>\n<p><strong>Preparing documentation<\/strong><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Providing\u00a0 relevant documentation is crucial for making your dataset understandable and reusable. This <\/span><a href=\"https:\/\/dmeg.cessda.eu\/Data-Management-Expert-Guide\/2.-Organise-Document\"><span style=\"font-weight: 400;\">guide<\/span><\/a><span style=\"font-weight: 400;\"> from the Consortium of European Social Science Data Archives provides you with guidance for creating good documentation and understandable data structures. It is important that you provide information alongside your data about how the data were collected, what different variables mean and explain abbreviations and terminology.\u00a0 Relevant information also includes codebooks and the dataset structure.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Does your dataset include personal data? Please make sure that file names do not include personal data that should not be publicly available. This is because file names can be viewed by anyone.\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">If you plan to deposit data under restricted access, please consult <\/span><a href=\"https:\/\/doi.org\/10.5281\/zenodo.10887484\"><span style=\"font-weight: 400;\">our guide<\/span><\/a><span style=\"font-weight: 400;\"> and prepare a Data Access Protocol which outlines the access conditions for the restricted access data.\u00a0<\/span><\/li>\n<\/ul>\n<h2>Discipline-specific deposit requirements<\/h2>\n<p><span style=\"font-weight: 400;\">Specific deposit requirements apply to the following disciplines:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><i><span style=\"font-weight: 400;\">Qualitative data (e.g. Oral history)<\/span><\/i><span style=\"font-weight: 400;\">:<\/span><\/li>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Making qualitative data reusable can be particularly challenging. You can find tips and tricks in our <\/span><a href=\"https:\/\/doi.org\/10.5281\/zenodo.8160880\"><span style=\"font-weight: 400;\">qualitative data guide<\/span><\/a><span style=\"font-weight: 400;\">.\u00a0<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">For interview data, adding a transcription of the interview, which includes the interview metadata, is highly desirable with a view to reusing the data. Together with the University of Amsterdam, DANS has developed a<\/span> <a href=\"https:\/\/dans.knaw.nl\/wp-content\/uploads\/2022\/09\/UvA_DANS_Template_Interview_metadatatranscript-EN.docx\"><span style=\"font-weight: 400;\">Metadata Transcription Template<\/span><\/a><span style=\"font-weight: 400;\"> that you can use for this purpose<\/span><span style=\"font-weight: 400;\">.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">If you add an audio or video file to your dataset, you may want to upload a subtitle file. The support only works if the subtitle files have a name with the following structure:\u00a0 &lt;basename audio video&gt;.(language code&gt;.vtt.<\/span><span style=\"font-weight: 400;\"><br \/><\/span><span style=\"font-weight: 400;\">There are three languages available:<br \/><\/span>&lt;language code&gt; = nl &lt;basename audio video&gt;.nl.vtt<br \/>&lt;language code&gt; = de &lt;basename audio video&gt;.de.vtt<br \/><span style=\"font-weight: 400;\">&lt;language code&gt; = en &lt;basename audio video&gt;.en.vtt<\/span><\/li>\n<\/ul>\n<\/ul>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><i><span style=\"font-weight: 400;\">Historical sciences<\/span><\/i><span style=\"font-weight: 400;\">:<\/span>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Describe the (archival) sources.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Describe the selection procedure used.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Describe the way in which the sources were used.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Refer to the standards or classification systems (such as HISCO) which were applied.<br \/><\/span><\/li>\n<\/ul>\n<\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><i><span style=\"font-weight: 400;\">Social and behavioural sciences<\/span><\/i><span style=\"font-weight: 400;\">:<\/span>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Describe the variable labels and value labels.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Describe the questionnaires and\/or other research tools.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Include the fieldwork report (if available).<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Include a codebook: a description of variables and information about population, types of data (units of observation\/analysis), sample procedure, response\/non-response, data collection method, weighting variables, constructed and\/or derived variables.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Ensure that the language of the variable labels and value labels correspond to the language of the rest of the dataset. The metadata should be provided in Dutch or English.<br \/><\/span><\/li>\n<\/ul>\n<\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><i><span style=\"font-weight: 400;\">Language and literature studies<\/span><\/i><span style=\"font-weight: 400;\">:<\/span>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">For CLARIN-compliant delivery, ensure that your dataset contains one or more metadata files in the<\/span> <a href=\"http:\/\/www.clarin.eu\/content\/component-metadata\"><span style=\"font-weight: 400;\">Component MetaData Infrastructure format<\/span><\/a><span style=\"font-weight: 400;\">.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">For <i>interactive 3D content<\/i> within the digital heritage and digital humanities field, you can consult <a href=\"https:\/\/doi.org\/10.5281\/zenodo.15013859\">these guidelines<\/a>.<\/span><\/li>\n<\/ul>\n<\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><i><span style=\"font-weight: 400;\">Archaeology<\/span><\/i><span style=\"font-weight: 400;\">:<\/span>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Would you like to know more about the E-depot for Dutch Archaeology? The dataset files deposited with the provinces must be supplied in Preferred Formats.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Via the ArchaeoDepot, datasets are automatically sent from the provincial depot to the DANS archive.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">During the startup phase of the ArcheoDepot, datasets can still be deposited directly <\/span><span style=\"font-weight: 400;\">at DANS if the province is not yet connected to the ArcheoDepot.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Be aware whether your data includes contact details of field staff or other parties involved, such as in the overview of personnel in planning documentation or in the administrative data of the final report. Refer to the Personal data section above if personal contact details are included.<\/span><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><i><span style=\"font-weight: 400;\">Life Sciences &#8211; Medical:<\/span><\/i>\n<ul>\n<li><span style=\"font-weight: 400;\">For handling your data, please follow the guidelines provided by the <\/span><a href=\"https:\/\/www.health-ri.nl\/data-stewardship-handbook-hands\"><span style=\"font-weight: 400;\">Data Stewardship Handbook (HANDS)<\/span><\/a><span style=\"font-weight: 400;\"> of Health-RI\/NFU.<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Include relevant data from your Electronic Lab Notebook.<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Try to include ID\u2019s associated with your research data such as the obvious ID\u2019s from your related publication, but also ID\u2019s from CTR, CCMO, preclinical trial registries and GenBank accession numbers. Pseudonymized data, however, is considered personal data.<\/span>\r\n\r\n<span style=\"font-weight: 400;\">When you deposit personal data in the Data Stations:<\/span>\r\n<ul>\r\n \t<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">You, or your organisation, are a data controller and DANS is a data processor. You agree to be bound by the<\/span><a href=\"https:\/\/dans.knaw.nl\/en\/legal\/processing-addendum-data-stations\/\"> <span style=\"font-weight: 400;\">processing addendum<\/span><\/a> <span style=\"font-weight: 400;\">by accepting the Terms of Use. This does not apply if your dataset(s) only contain(s) personal data to account for the dataset(s) such as the maker, rights holder or citations.<\/span><\/li>\r\n \t<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">As a data controller under the GDPR, you or your organisation are responsible for the correct processing of personal data in your data set. Not all data needs to be preserved for the long term. If you deliver many files at once, please provide a file list, i.e. a list of file names, descriptions of the content and of any connections between the files.<\/span><\/li>\r\n \t<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Does your dataset include personal data? Please make sure that file names do not include personal data that should not be publicly available. The dataset files deposited with the provinces must be supplied in Preferred Formats.<\/span><\/li>\r\n \t<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">Via the ArchaeoDepot, datasets are automatically sent from the provincial depot to the DANS archive.<\/span><\/li>\r\n \t<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">During the startup phase of the ArcheoDepot, datasets can still be deposited directly at DANS if the province is not yet connected to the ArcheoDepot.<\/span><\/li>\r\n \t<li style=\"font-weight: 400;\" aria-level=\"2\"><span style=\"font-weight: 400;\">With extensive data sets, users must be able to gain a thorough understanding of the contents of the various files.
