Part of the curation process includes the transformation of files into sustainable formats that conform to our file format <a href=\"https:\/\/dans.knaw.nl\/en\/file-formats\/\"><span>guidelines<\/span><\/a>. This can, for instance, include transforming text documents into PDF\/A and uploading these to (a new version of) your dataset.<\/p>\n<p><b>Tabular data<br \/><\/b><b><\/b>A transformation that is done automatically by Dataverse &#8211; the software of the Data Stations &#8211; is the transformation of tabular data files. During the upload of a tabular data file, such as a SPSS file or another statistical file, the file is transformed into a TAB-delimited file. When a user is allowed to download a tabular data file, they can then choose whether to download the original file or the TAB file. Importantly, the transformation also extracts information about the variables available in the statistical files and &#8211; if the file is openly available &#8211; the variable name, label and summary statistics are included in the DDI metadata export. This makes it easier to find the dataset and the variables it contains in our Data Station. You will also see that datasets which contain tabular data files have a Universal Numeric Fingerprint (UNF) included in the dataset citation. A UNF is a cryptographic hash or signature that can be used to uniquely identify a versioned dataset.<\/p>\n<p>Once the dataset is accepted, curated and published in the Data Station, you can view your dataset, submit updates, and you can evaluate any access requests to your data in case you deposited files under restricted access.\u00a0<\/p>\n<p>&nbsp;<\/p>\n<h2><span style=\"font-weight: 400;\">Promote your dataset for reuse<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">DANS\u2019 mission is to make data available for reuse and we like to highlight the reuse potential of datasets that have been deposited with us. We invite depositors to complete <\/span><a href=\"https:\/\/forms.cloud.microsoft\/e\/yQm8pmQHMF\"><span style=\"font-weight: 400;\">this form<\/span><\/a><span style=\"font-weight: 400;\"> to provide us with more information about how their dataset could be reused. We want to use this information to promote the data available in the DANS repositories to the wider community, for instance through our news letter DataLink.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">When you share information about your datasets with others, use the dataset\u2019s DOI so that the link will be persistent (see also our data citation recommendations, below). <\/span><span style=\"font-weight: 400;\">\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\"><\/span><\/p>\n<h2><span style=\"font-weight: 400;\">Overview of datasets<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">When you log into the Data Station, you can view your user profile (on the top right of the page). There<\/span><span style=\"font-weight: 400;\"> you will find:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">A list of your datasets under \u2018My data\u2019.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">A list of all notifications from the system sent by mail under \u2018Notifications\u2019.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\"><span style=\"font-weight: 400;\">Account information.<\/span><\/span>\n<p>&nbsp;<\/p>\n<\/li>\n<\/ul>\n<h2><span style=\"font-weight: 400;\">Making changes to your dataset after publication<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">You can modify your dataset\u2019s metadata and access categories as well as change or add files. Modifications will always lead to the creation of a new version of your dataset and any new version needs to be submitted to DANS for publication.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">You can modify your dataset in several ways. On the top right of the page of the dataset under \u2018Edit Dataset\u2019, you can find options to edit the metadata, terms, and access conditions and to add new files to the dataset. To edit your files you can also use the \u2018Edit files\u2019 option next to the list of files, or you can use the \u2018File Options\u2019 (the three dots) next to each individual file in your list. <\/span><span style=\"font-weight: 400;\">\u00a0<\/span><\/p>\n<p><b>Changing the metadata<br \/><\/b><span style=\"font-weight: 400;\">You may want to change the metadata of the dataset, for instance to include a reference to a new publication based on your dataset. You can change the metadata by navigating to the dataset page and then selecting \u2018Edit Dataset\u2019 and \u2018Metadata\u2019. Alternatively, you can use the \u2018Add + Edit Metadata\u2019 button at the Metadata tab of the dataset.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">If you want to make changes to the metadata of files, you can select the relevant files and use the \u2018Edit Files\u2019 button. You can also use the \u2018File Options\u2019 (the three dots) next to that file.\u00a0\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Changes to the metadata will result in a minor version increment of the dataset (e.g. from version x.0 to version x.1). The new version needs to be submitted to DANS for publication.\u00a0\u00a0<\/span><\/p>\n<p><b>Deleting, replacing or adding files\u00a0<br \/><\/b><span style=\"font-weight: 400;\">If you want to delete one or more files, you can select the relevant files and use the \u2018Edit Files\u2019 button. You can also use the \u2018File Options\u2019 (the three dots) next to an individual file.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">If you want to replace an existing file, you can use the \u2018File Options\u2019 (the three dots) next to that file and select \u2018Replace\u2019.\u00a0\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">If you want to add new files, you can use the \u2018Upload Files\u2019 button on top of your list of files.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Please note that if you upload a new file that should be restricted access, or if you upload a new version of a restricted file, the new file will not automatically be set to restricted. For newly uploaded files you need to set the appropriate restrictions again.\u00a0\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Changes to the files will result in a major version increment (e.g. from version 1.0 to version 2.0). The new version needs to be submitted to DANS for publication.\u00a0\u00a0<\/span><\/p>\n<p><b>Changing the access category<br \/><\/b><span style=\"font-weight: 400;\">You can change the access category, licence and embargo of a published dataset <\/span><span style=\"font-weight: 400;\">and its files.\u00a0 If you want to change the licence or terms, you can go to the \u2018Edit Dataset\u2019 section on the top right and then select \u2018Terms\u2019, or you can navigate to the \u2018Terms\u2019 tab and then select \u2018Edit Terms Requirements\u2019.\u00a0 Changes to a more open licence is always allowed. If you want to change to a more restrictive licence, however, <\/span><a href=\"https:\/\/dans.knaw.nl\/en\/ask-your-question\/\"><span style=\"font-weight: 400;\">please contact DANS<\/span><\/a><span style=\"font-weight: 400;\"> and we will evaluate the situation.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">The access category for each file can be changed by using the \u2018File Options\u2019 (the three dots) next to each single file in the file list, or through \u2018Edit Files\u2019 if you wish to make changes for a selection of files in one go. You can also adjust the Embargo and Retention periods in the same way. As with the licence, changes to a more open category are always allowed but if you want to restrict access to files that were previously open, <\/span><a href=\"https:\/\/dans.knaw.nl\/en\/ask-your-question\/\"><span style=\"font-weight: 400;\">please contact DANS<\/span><\/a><span style=\"font-weight: 400;\"> to discuss the reason for this change. <\/span><\/p>\n<p><span style=\"font-weight: 400;\"><\/span><span style=\"font-weight: 400;\">Changes of the terms, licence and\/or access restrictions <\/span><span style=\"font-weight: 400;\">will result in a major version increment and need to be submitted to DANS for publication.\u00a0 <\/span><span style=\"font-weight: 400;\">\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">In cases where there is a legal reason to remove or limit access to the dataset, it is possible to have your dataset, or a version of your dataset, <\/span><i><span style=\"font-weight: 400;\">deaccessioned<\/span><\/i><span style=\"font-weight: 400;\">. If you wish to deaccession (a version of) your dataset, <\/span><a href=\"https:\/\/dans.knaw.nl\/en\/ask-your-question\/\"><span style=\"font-weight: 400;\">please contact DANS<\/span><\/a><span style=\"font-weight: 400;\">. The DOI will remain active <\/span><span style=\"font-weight: 400;\">and the landing page will<\/span><span style=\"font-weight: 400;\"> inform users that the dataset was deaccessioned, stating the reason given for deaccessioning.<\/span><\/p>\n<p><b>Submit a new version to DANS<br \/><\/b><span style=\"font-weight: 400;\">After making any changes to your dataset, you will need to submit the new version to DANS via the \u2018Submit for Review\u2019 button. A DANS data manager will then review the changes before publishing the new version\u00a0of your dataset. Only then will the new version be publicly visible in the Data Station. As stated above, any edits will create a new version of the dataset. The DOI of the dataset will remain the same, but the version number is listed as part of the citation of the dataset at the top of the page.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">The tab \u2018Versions\u2019 <\/span><span style=\"font-weight: 400;\">will show all dataset versions with <\/span><span style=\"font-weight: 400;\">detailed information on<\/span><span style=\"font-weight: 400;\"> the version differences. Note that earlier versions will remain accessible to other users. <\/span><span style=\"font-weight: 400;\">If there is a need to make an earlier version inaccessible, please <\/span><a href=\"https:\/\/dans.knaw.nl\/en\/ask-your-question\/\"><span style=\"font-weight: 400;\">contact DANS<\/span><\/a><span style=\"font-weight: 400;\">. We may then proceed to deaccession the earlier version (see above).<\/span><\/p>\n<p><span style=\"font-weight: 400;\"><\/span><\/p>\n<h2><span style=\"font-weight: 400;\">Evaluating access requests to your dataset<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">If your dataset contains one or more \u2018restricted\u2019 file(s) in combination with the possibility to allow for an \u2018Access Request\u2019, you will receive an email and notification from the system as soon as someone asks permission to download the file(s).<\/span><\/p>\n<p><span style=\"font-weight: 400;\">The email and the notification contain the requestor\u2019s email address. <\/span><span style=\"font-weight: 400;\">The message also contains a link to the Data Station<\/span><span style=\"font-weight: 400;\"> where you can grant or reject the request for access to the data. <\/span><span style=\"font-weight: 400;\">You can also view all requests to your dataset by navigating to the page of the dataset and then selecting \u201cEdit Dataset\u201d &gt; \u201cPermissions\u201d &gt; \u201dFile\u201d.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">When evaluating a request you<\/span><span style=\"font-weight: 400;\"> can choose one of two a<\/span><span style=\"font-weight: 400;\">ctions:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Grant access: Use this button if you want to grant the requestor access to your data.<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Reject access: Use this button if you refuse to give access to your data.<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">Note that you can select which files you want to grant or deny access to. You can also select all files to grant or deny access to the entire dataset with one action. After being granted access to a given file, a user will have access to all versions of that file.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">If you grant access, the chosen licence automatically applies. <\/span><span style=\"font-weight: 400;\">For restricted access datasets, this should always be the DANS Licence.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">When you receive an access request, please evaluate it as soon as possible. It is important that you use a stable email address for your account in the DANS Data Station and that you check it regularly so that access requests are assessed quickly.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">We recommend that you specify your access procedures and evaluation criteria in a Data Access Protocol, for instance using <\/span><a href=\"https:\/\/doi.org\/10.5281\/zenodo.10887571\"><span style=\"font-weight: 400;\">this template<\/span><\/a><span style=\"font-weight: 400;\">. Preferably, the Data Access Protocol is added as an open access file to your dataset, so that everybody can consult the conditions under which you grant access to the data. You can find more information about publishing restricted access in <\/span><a href=\"https:\/\/doi.org\/10.5281\/zenodo.10887483\"><span style=\"font-weight: 400;\">this dedicated manual<\/span><\/a><span style=\"font-weight: 400;\">.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\"><\/span><\/p>\n<h2><span style=\"font-weight: 400;\">Citing data<\/span><\/h2>\n<p><span style=\"font-weight: 400;\">We ask you to cite <\/span><span style=\"font-weight: 400;\">datasets from the Data Station<\/span><span style=\"font-weight: 400;\"> in accordance with the\u00a0 <\/span><a href=\"https:\/\/doi.org\/10.25490\/a97f-egyk\"><span style=\"font-weight: 400;\">Joint Declaration of Data Citation Principles<\/span><\/a><span style=\"font-weight: 400;\">.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">It is possible to download the citation information of a dataset directly in Endnote, RIS or BibTeX format. To make dataset citation easier we advice to copy and paste the information from the citation block at the top of the dataset page. Note that the citation displayed in the Data Station may contain a Universal Numeric Fingerprint (UNF) at the end of the citation when a dataset contains tabular data (see above). You can include this UNF number together with the version when you cite the dataset.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">A dataset citation should always consist of the following elements:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Author:<\/span><span style=\"font-weight: 400;\"> The name(s) and\/or organisation of the creator(s) of the dataset;<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Year: <\/span><span style=\"font-weight: 400;\">The year in which the dataset was published;<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Title: <\/span><span style=\"font-weight: 400;\">The title of the dataset;<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">PID: <\/span><span style=\"font-weight: 400;\">The <\/span><a href=\"https:\/\/dans.knaw.nl\/en\/depositing-data-manual\/during-depositing\/persistent-identifiers\/\"><span style=\"font-weight: 400;\">persistent identifier<\/span><\/a><span style=\"font-weight: 400;\"> (DOI) of the dataset as a full URL;<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Publisher: <\/span><span style=\"font-weight: 400;\">The name of the repository in which the dataset is stored: the DANS Data Station;<\/span><\/li>\n<li style=\"font-weight: 400;\" aria-level=\"1\"><span style=\"font-weight: 400;\">Version: <\/span><span style=\"font-weight: 400;\">If applicable, the version number of the dataset.<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">For example:<\/span><\/p>\n<p><span style=\"font-weight: 400;\">P.K. We will then try to ensure that related publications and scientific outputs are included in the metadata of the corresponding datasets. You will need to submit your modification and a DANS data manager will need to publish your new version before it will be accessible. The tab Versions will show all dataset versions with details on the version differences. Changes to a more open licence and less restrictions for accessing the data are always allowed. If you want to change to a more restrictive licence or limit the access to open files, however, please contact DANS and we will evaluate the situation. <\/span><span style=\"font-weight: 400;\">Changes of the licence and\/or access restrictions always lead to a new version of the dataset and new versions need to be submitted to the Data Processing Team of DANS who publish them.\u00a0<\/span>\r\n\r\n<span style=\"font-weight: 400;\">In cases where there is a legal reason to remove or limit access to the dataset, it is possible to have your dataset, or a version of your dataset, <\/span><i><span style=\"font-weight: 400;\">deaccessioned<\/span><\/i><span style=\"font-weight: 400;\">.
